Enter Material Values Using BOM
Prerequisites
- To use the Resource BOM window to enter material values, you must define one or more bills of material (BOMs) for the project. See Bill of Material (BOM).
- Define your work packages for the control accounts with start dates, end dates, and durations. The work package start and end dates determine the time frame for the value details. When you create your work package, select the assumption type. Select a Spread or distribution profile. Select Manual if you want to enter the material costs for a specific calendar month. Recommend selecting for the EV Technique. In MaxTeam or EVMax, you can then use the BOM quantity to status the work package and calculate earned value. When you are using the BOM for material take off quantities with labor resources and rate factors associated with the material item, recommend using the EV Technique because you are mixing the elements of cost (labor and material) in the same work package. See Define Work Packages and Add a Work Package.
- Assign the applicable non labor resource to the work package. For example, you have defined a resource named "Engineering Material" in the project's resource structure. See Assign Resources. Remember the calculation settings in the resource structure determine the base result for the resource as well as how rates are applied to calculate indirect costs and determine the total cost. For material costs you are entering the base direct cost value.
The following steps assume you are using the Standard View Ribbon Menu option to enter base result values.
- Select in the Navigation Menu. The main EVMax window displays.
- Select your project from the dropdown in the Ribbon Menu.
- Expand the WBS hierarchy as needed to view the work packages.
- Select the material work package row in the top pane.
-
Select the Resources tab in the bottom pane. This enables the BOM option in the Ribbon Menu. The left pane displays the Budget, Earned, Actuals, and Forecast tabs.
Tip:
If the BOM option in the Ribbon Menu isn't enabled for the work package row you selected, verify the work package assumption type is set to "Material" (Work Package tab, Add/Edit tab). If it is set to something else, the BOM option isn't available for that work package.
- Select the Budget tab. A list of the resources assigned to the work package displays in the left pane.
- Select the applicable material resource row and then select the Spreads tab in the right pane of the Budget tab. A table of result rows and calendar month columns displays. The base result row and Total column are highlighted. The calendar month columns to the right of the Total column reflect the work package start and end dates.
- Click in the Ribbon Menu. The Resource BOM window displays a list of the project's BOMs parts and assemblies.
- Optional. Click in the Ribbon Menu to view any assembly details.
-
Click on the check box at the beginning of each part or assembly row to select the material items for the work package.
Tips:
You can only modify the quantity or unit price in the applicable BOM. You cannot make any changes when you select the material items from the BOM for the work package.
Once a part or assembly is selected from a BOM for a work package, the Assignment column in the BOM displays the applicable work breakdown structure (WBS)/control account so it is easy to identify the work packages with material resource assignments.
You can apply filters in the Resource BOM window to help you locate specific parts or assemblies. Click in the applicable column heading row or click the Edit Filter option in the lower right corner of the window. Any filter settings display in the lower left corner of the window.
-
Click to return to the Budget tab. The selections you made in the Resource BOM window determines the material base value that now displays in the Spreads tab. The work package spread or distribution profile setting determines how the base value is distributed over time.
Tips:
When you are using the BOM for material take off quantities with labor resources and rate factors, the labor resource assignments and labor hours are automatically created for the material work package once you click Save. If you change the material quantity, unit price, associated resources, or rate factor in the BOM, the base results are also updated. This includes the material resource assignment and direct cost or labor resource assignments and labor hours depending on what you have modified.
If you need to update the part or assembly selections, click BOM in the Ribbon Menu to display the Resource BOM window again. Make your changes click .
- Repeat Steps 4 through 11 to enter values for other material assumption work packages and assigned resources.
